Transport records

School transport records, route by route.

Every route with its pickup points, the vehicle and driver on it, and the students who ride it, kept in one register. When a parent rings about the bus, the office has the driver's name and mobile on the same list as the child.

In short

What does the ProEMS transport module do?

The transport module is a register of your school transport: routes and their pickup points, vehicles, drivers, which vehicle and driver serve each route, and which students ride it from which pickup point.

It answers the office's everyday questions, such as which children board at Station Road or who drives the bus on Route 2, and the transport users list prints as a PDF for the driver or the gate.

Transport records are part of the Platinum plan. Transport charges are billed through the fee module as a fee head, the same way as tuition.

  • Routes and pickup points, named the way your families know them
  • Vehicles with type, capacity, fuel, and owned or on rent
  • Drivers with mobile and licence number, type and validity
  • A PDF of transport users, filtered by route or pickup point

Compare the plans

Who uses it?

  • The office

Adds routes, pickup points, vehicles and drivers, and assigns each student a route and a pickup point.

  • Transport in-charge

Given access to the transport screens, keeps vehicle and driver details current and prints the route lists.

  • Accountants

Bill transport as a fee head in the fee module, alongside tuition and the other heads.

What it does

What can you record in ProEMS transport?

Routes, vehicles, drivers and riders, tied together so any one of them leads to the others. These are the records the office keeps.

  • Routes and pickup points

Name each route and add its pickup points, so every stop carries a name the office and families recognise.

  • Vehicles

Record each vehicle's registration number, type, seating capacity and fuel, and whether it's owned or on rent, with the monthly cost.

  • Drivers

Keep each driver's name, date of birth, mobile, email and address, with the licence number, licence type and validity date.

  • Vehicle and driver per route

Pair a route with a vehicle and a driver. Each driver and vehicle can be in only one pairing, so nobody is booked onto two routes.

  • Transport users

Assign a student to a route and a pickup point. Their class and section come straight from the student record.

  • Lists and PDF export

Filter riders by route or pickup point and export a PDF with each student's class, pickup point and the driver's name and mobile.

  • Transport facility page

See every route on one page with its drivers and the route's pickup points.

  • Transport as a fee head

Bill transport in the fee module as its own fee head, with its frequency and an amount for each class.

How it works

How do you set up school transport in ProEMS?

In five steps, usually done once before the session starts and touched up when a family moves house or a driver changes.

  1. 1

    Add routes and pickup points

Create each route, then add its pickup points by name, such as Lake View Colony or Station Road.
  2. 2

    Add vehicles and drivers

Enter each vehicle's number, type, capacity and fuel, and each driver's mobile and licence details.
  3. 3

    Pair them with routes

Give each route its vehicle and driver. A route can have more than one pairing when one bus isn't enough, but a driver or vehicle can't be on two.
  4. 4

    Assign the students

Pick a student, their route and their pickup point. When a family moves, change the pickup point on that one record.
  5. 5

    Print the lists

Filter the transport users list by route or pickup point and export the PDF for the driver, the gate or the class teacher.

How do you find which students ride a route?

Open the transport users list and filter it by route, or by a single pickup point. The list shows each student's class and section, mobile and email, the route, the pickup point, and the driver's name and mobile.

Export it as a landscape A4 PDF to hand to the driver, pin up at the gate, or keep with the class register.

Can one driver or vehicle cover two routes?

No. Each driver and each vehicle can be in only one route pairing, which stops a bus being booked onto two routes by mistake.

A busy route can still have more than one pairing, so two buses and two drivers can share Route 1 when the numbers need it.

How are transport fees charged?

Transport fees are charged through the fee module as a fee head, with its own frequency and an amount for each class. The transport module keeps the records, and the fee module does the billing.

Routes and pickup points don't carry prices of their own, so the amount always comes from your fee set-up. Fee collection starts in Gold and is included in Platinum, alongside transport records.

Can parents see transport details?

Not in ProEMS. Transport records sit in the admin settings, and parents and students don't see them in the app or in their logins.

To tell families their route and pickup point, post it as class or school news, or send the PDF list home.

Good to know

What should you know before using ProEMS for transport?

Four points, so the office knows exactly what the module holds and what stays outside it.

It is a records module
ProEMS keeps routes, vehicles, drivers and riders on file for the office. It doesn't run the buses day to day.
Only the office sees it
Transport screens sit in the admin settings, so share route details with families through news or the PDF list.
Fees belong to the fee module
Transport charges are a fee head set by class. Routes and pickup points don't carry their own prices.
Licence renewals are yours to watch
Each driver's licence validity is on record, but ProEMS sends no renewal reminder, so check the driver list now and then.
