For colleges

College management that speaks programs, terms and backlogs.

ProEMS runs colleges on the same system it runs schools on, set up the college way: departments, program levels and programs on every screen, students choosing their own optional subjects, examination forms signed off before the admit card prints, and a list of every backlog subject.

In short

What does ProEMS do for a college?

ProEMS gives a college one system for students, attendance, fees and exams, with the college pieces built in: departments, program levels, programs and courses, terms, optional-subject approval, examination forms, admit cards, backlogs and a university Excel sheet of marks.

When ProEMS is set up as a college, the screens change with it. Attendance, timetables, exams, certificates and admissions gain department, program level and program filters, students carry a college roll number, and the news section is called College News.

Staff, students and parents also get the ProEMS app on Android and iOS, signing in with your college's organisation code. The exam cell and the office work on the web.

What you'll use

Which ProEMS features matter most to a college?

These nine carry most of a college's year, and the exam cell uses the middle four every semester.

  • From Silver

    Departments and programs

Set up departments, program levels and programs with their codes and duration in years, then courses under each department.

  • From Gold

    Subject approval

Students tick their optional subjects from their own login, grouped by category and up to the class limit, and staff approve the choices.

  • From Gold

    Examination forms

The student confirms the exam subjects, then a professor, the accounts desk, the examination coordinator and the librarian each sign off.

  • From Gold

    Admit cards

Once all five approvals are in, generate the admit card with the student's photo, subject codes, and regular and back papers listed apart.

  • From Gold

    Backlogs

See every student who scored below the passing marks, by session, exam and subject, and export the list to Excel for the exam cell.

  • From Gold

    University Excel

Export a section's results with external, internal and total marks for each subject, under rows for the maximum and passing marks.

  • From Silver

    Attendance by program

Mark attendance by department, program and class on the web or the staff app, or with RFID cards and barcodes.

  • From Silver

    Placement details

Record each student's placement: organisation, position, package, date, place and the offer document, all on the student profile.

  • From Platinum

    Admissions and enquiries

Your sign-in page gets Enquiry and Apply for Admission buttons, and the enquiry form asks for the department, program level and class.

Through the year

How does a college year run on ProEMS?

It runs semester by semester, with the exam cell busiest at the end of each. Here's one academic year, from intake to placements.

  1. Intake

    Enquiries and enrolment

On Platinum, applicants send enquiries from your sign-in page and fill in the enrolment form from an emailed link. The admissions desk confirms or cancels each one.

  2. Week 1

    Subjects chosen and approved

Students pick optional subjects from each category, up to the class limit. Staff check the choices and mark them approved.

  3. Term

    Classes and attendance

Terms carry their own start and end dates, timetables run by program and class, and teachers mark attendance on the web or the staff app.

  4. Exam forms

Five sign-offs, then the admit card

Each student confirms the exam subjects, back papers included. When the professor, accounts, examination coordinator and librarian have approved, the admit card can be generated.

  5. Results

Marks, backlogs and the university sheet

Marks are entered and locked, anyone below the passing marks shows up in Backlogs, and the exam cell exports each section's university Excel.

  6. Final year

    Placements on record

Offers go onto each student's profile, and the student Excel export can include organisation, position, package, date and place.

How does ProEMS switch between a school and a college?

ProEMS is set up as either a school or a college when your institution's site is created, and that one setting changes what the screens show.

In the college set-up, lists in attendance, timetables, exams, events, certificates and admissions filter by department, program level and program, and the library dashboard adds department stats. Students get a college roll number, the news is called College News, and the results screen gains the university Excel export. The school-only Council List and nominal roll drop out of the student screen.

How do examination forms and admit cards work?

Each student confirms their exam subjects from the student login, and the form then needs four staff approvals: a professor, the accounts desk, the examination coordinator and the librarian, each from staff in that role.

Every approval is recorded with its time. When all five are in, the Generate Admit card button appears. The examination form and the admit card are both made from Word templates you keep with your certificate templates, and they list regular subjects and back papers separately, with subject codes and the student's photo.

How does ProEMS handle backlogs?

ProEMS treats any subject where a student scored below the passing marks as a backlog, and lists it on the Backlogs screen with the session, exam, obtained marks and passing marks.

Export the list to Excel for the exam cell. Students tick their back papers on the subject approval screen, and they show as "Back" on the next examination form and admit card. The admit card then carries both kinds of paper.

What's in the university Excel export?

It's one sheet per section with each student's roll number and name and, for every subject, the external marks, internal marks and total, under header rows for the maximum and passing marks.

The marks come from exam subjects you flag as internal or external, so the sheet fills itself as marks are entered. The export is on the results screen in the college set-up, for staff and the principal. See how the rest of exams work on the exams and report cards page.

FAQ

Questions we hear first.

Something else on your mind? Bring it to the demo and we'll answer it there.

Can students choose their own elective subjects?
Yes. Students tick optional subjects from their own login, grouped into the categories you set, and the class limit stops them choosing too many. Staff then approve the choices.
Does ProEMS submit marks to the university?
No. ProEMS doesn't connect to any university portal. It produces the university Excel sheet with external, internal and total marks for each subject, which your exam cell sends on the way the university asks.
Does ProEMS work out SGPA or CGPA?
No. ProEMS grades by percentage bands that you set and doesn't keep grade points, so it doesn't calculate SGPA or CGPA. Marks, totals, percentages and grades are all there.
Do college students get the app?
Yes. Students, parents and staff use the ProEMS app on Android and iOS, signing in with email and password and your college's organisation code. Exam cell and office work is done on the web.
Can we keep a record of placements?
Yes. Each student profile has a Placement tab for the organisation, position, package, date, place and the offer document, and those columns can go into the student Excel export.
