School reports for every desk, ready to export.

The accounts desk closes the day with a collection abstract, the exam cell prints rank lists, and the principal finds last week's staff attendance in the inbox every Monday. Most reports export to Excel or PDF from the screen they belong to.

In short

What reports does ProEMS give a school?

ProEMS gives each desk its own reports: collection and defaulter reports for accounts, rank lists, percentiles and result graphs for the exam cell, staff attendance and daily progress summaries for the principal, and fine and overdue reports for the library.

Most of them export to Excel or PDF from the screen they sit on, and two arrive on their own every Monday morning: last week's student attendance for each class, and the weekly staff attendance PDF.

Which reports you get depends on the plan. Staff attendance and DPR reports come with Silver; the fee dashboard, the day's collection and its abstract, and results with Gold; and the advanced finance reports and library reports with Platinum. The pricing page has the full split.

  • An abstract of the day's collection by payment method and bank

How it works

How do reports fit into a school week on ProEMS?

There's no separate reporting tool to learn. Reports sit next to the work they come from, and a typical week uses them like this.

  1. 1

Every evening, close the fee counter

The accounts desk prints the abstract of the day's collection and matches the cash and cheques in hand against the totals by method and bank.
  2. 2

    Before month end, chase dues

Run the defaulter list for a class, set the month and a minimum amount, and send everyone on it an SMS reminder.
  3. 3

    Monday morning, check staff attendance

Last week's staff attendance PDF is already in the principal's inbox, with each person's days present and percentage.
  4. 4

Through the week, review daily reports

Open the DPR summary for a teacher or a date range, add a comment where something needs a follow-up, and export it for the file.
  5. 5

    After each exam, publish ranks

Generate the rank list with percentiles for each section, open the result graph, and export the results to Excel, including the university format colleges need.

Runs on its own

Which reports arrive without anyone running them?

Two reports go out every Monday, as long as email is set up for your institution. Everything else is run when you need it, from the screen it belongs to.

  • Mon 01:00

    Last week's student attendance

Each class teacher and the principal are emailed last week's attendance for every section, day by day, with each student's percentage.

  • Mon 07:00

    Weekly staff attendance PDF

The attendance managers and the principal are emailed last week's staff attendance, with each person's days present and attendance percentage.

What is the daily collection abstract?

The daily collection abstract is a one-page PDF of the fees collected on a date, totalled by payment method and bank, with a grand total at the bottom. The accounts desk uses it to check the day's cash, cheques and bank receipts before closing.

On Gold you print it, and the day's fee collection, from the fee Transactions screen. Platinum's advanced reports add collection for any date range, the defaulter list with SMS and the concession report. The fee module page covers how the money comes in.

Which reports export to Excel or PDF?

Most ProEMS reports export to Excel, PDF or both. The defaulter list, concession details, uncreated bills, staff attendance, DPR and library reports each come in Excel and PDF, the rank list and the abstract come as PDF, and results also export to Excel.

Beyond reports, the student and staff lists, leave records, the SMS log and the payroll list export to Excel, and the transport users list prints as a PDF.

How does ProEMS show ranks and percentiles?

ProEMS ranks each section on its results and gives every student a percentile alongside their percentage, in a rank list you can download as PDF. The result graph shows the same section sorted by rank.

Percentile here is the share of classmates who scored lower, so a percentile of 95 puts a student ahead of 95% of the section. Both come with Gold, with report card PDFs covered on the exams and report cards page.

What is the DPR summary in ProEMS?

The DPR summary collects teachers' daily progress reports, the record of what each teacher covered period by period, so the principal or a coordinator can read them by teacher and date range and add a comment.

Teachers file DPRs from the staff app or the web, and the summary exports to Excel or PDF. Both come with every plan from Silver. For the paper side of attendance, see our attendance register format.

Good to know

What should you know about reporting in ProEMS?

Four points that save a surprise later.

Advanced finance reports are Platinum
Collection for any date range, defaulters with SMS, the concession report and uncreated bills need Platinum. Gold has the fee dashboard, forecast, payment history and the day's collection with its abstract.
Two reports are scheduled
Only the Monday student attendance sheets and the weekly staff attendance PDF go out on a timer. Every other report is run when someone needs it.
Set reports, not a report builder
Each report has its own columns and filters. For a view of your own, export to Excel and work from there.
Charts where they help
The fee dashboard, result graphs and the staff attendance bar graph give the visual picture. ProEMS isn't a separate data analysis tool.
